Protecting your personal data matters to us. This statement explains which data we process on this website and in connection with our events, for which purposes, and which rights you have.

Principles of processing

We process personal data only to the extent necessary to operate this website and to provide our services. The legal bases are Art. 6 (1) GDPR, in particular performance of a contract (lit. b), legal obligations (lit. c), our legitimate interest in secure and reliable operation (lit. f) and, where we expressly ask for it, your consent (lit. a).

This website uses no analytics or tracking services and embeds no content from third-party servers. Fonts are self-hosted; opening our pages establishes no connections to font or script CDNs. All pages are delivered encrypted via TLS (HTTPS).

Hosting and server log files

The website is operated by the hosting provider Nodion (nodion.com) with servers located in Germany. A data processing agreement pursuant to Art. 28 GDPR is in place with the provider.

When you visit the website, the server automatically processes technical access data:

  • IP address of the requesting device
  • date and time of access
  • requested page and transferred data volume
  • browser type and operating system (user agent)
  • previously visited page (referrer)

This data is required to deliver the pages and to keep the operation stable and secure (Art. 6 (1) (f) GDPR). It is not merged with other data sources and is deleted after a short period.

Cookies and local storage

This website only uses technically necessary cookies (§ 25 (2) TDDDG, Art. 6 (1) (f) GDPR). No consent is required for them; we do not use tracking or marketing cookies.

  • Language setting: remembers your chosen language (German or English).
  • Login cookie for the internal administration area: only set when team members log in.
  • Cookie notice: your confirmation of the notice is stored locally in your browser (localStorage).

Contact form and e-mail contact

When you write to us via the contact form, we process the details you provide there (name, e-mail address, optionally organisation, topic and message) to handle your enquiry. The legal basis is Art. 6 (1) (b) GDPR where your enquiry is aimed at a contract, and otherwise our legitimate interest in responding (Art. 6 (1) (f) GDPR).

The details are forwarded by e-mail to our mailbox and stored until processing is complete and no retention obligations remain. The same applies to enquiries that reach us directly by e-mail.

Event registration

For online registration for our events we process the attendee's details (first name, last name, e-mail address, optionally company and position) and, for paid events, billing details (company, address, optionally a separate billing e-mail and order references). This processing serves the performance of the contract (Art. 6 (1) (b) GDPR).

We log the consents given during registration (terms and conditions, privacy, photo and video recordings, optionally networking) with timestamp, text version and IP address as proof pursuant to Art. 7 (1) GDPR.

If you have additionally consented to your contact details being shared, we pass on your name, company, role and e-mail address to the exhibitors participating in the event for networking purposes (Art. 6 (1) (a) GDPR). This consent is voluntary and can be revoked at any time with effect for the future by contacting info@digital-workspace.eu.

We anonymise registration data a few months after the event has ended. Billing-related data is retained beyond that for as long as commercial and tax law requires (Art. 6 (1) (c) GDPR).

Ticket delivery and event e-mails

After registering you receive a confirmation with your ticket (PDF) and a calendar entry, and a reminder e-mail shortly before the event. Delivery runs through the SMTP service of our hosting provider Nodion under the data processing agreement. These are exclusively transactional e-mails related to your registration, not advertising (Art. 6 (1) (b) GDPR).

Apple Wallet and Google Wallet

Optionally, you can add your ticket to Apple Wallet or Google Wallet. If you use this feature, Apple or Google process the ticket data under their own privacy policies; this may involve transfers to third countries. Use is voluntary, and the ticket and calendar entry work without a wallet.

Photo and video recordings at events

Photos and videos are taken at our events for public relations, for example for the website or LinkedIn. We publish recordings in which individual persons are identifiable on the basis of the consent given during registration (Art. 6 (1) (a) GDPR). You can revoke this consent at any time with effect for the future by contacting info@digital-workspace.eu.

Your rights

You have the following rights regarding your personal data:

  • access to the data processed (Art. 15 GDPR)
  • rectification of inaccurate data (Art. 16 GDPR)
  • erasure (Art. 17 GDPR)
  • restriction of processing (Art. 18 GDPR)
  • data portability (Art. 20 GDPR)
  • objection to processing based on Art. 6 (1) (f) GDPR (Art. 21 GDPR)
  • withdrawal of given consent with effect for the future (Art. 7 (3) GDPR)

An informal message to info@digital-workspace.eu is sufficient to exercise your rights. You also have the right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR). The authority responsible for us is the State Commissioner for Data Protection and Freedom of Information of Baden-Württemberg (LfDI), Lautenschlagerstraße 20, 70173 Stuttgart, Germany, www.baden-wuerttemberg.datenschutz.de.

We update this privacy statement when the website, our services or the legal situation change. The version published here applies.
